# Reports

Find the report that answers your question and filter it by period.

*Review your clinic's financial status, customer activity, vaccine tracking, stock status, and general data in one place.*

The reports are grouped by the question they answer rather than by the screen the data came from, so this page is mostly a map: find the question, then open the report that answers it.

## Where to Find This Section

**Reports** in the left menu. *Search reports...* narrows the list when you know roughly what you are after.

> **Note**
> Reports are permission-gated one group at a time, so you see the groups your roles allow and not necessarily all of them. If you see *No report access granted yet*, ask a clinic administrator. See [Users and roles](/settings/users-and-roles).

## Overview

*Quickly review your clinic's general data status and daily flow.*

| Report | What it answers |
|---|---|
| **Daily Summary** | *All clinic activities for the selected day at a glance.* |
| **Monthly Overview** | *Compare the month's total activity with the previous period and spot the quiet months.* |
| **Clinic Statistics** | *View customer, pet, appointment, visit, product, invoice, and notification counts on a single screen.* |

**Daily Summary** is the one to open at closing time; **Monthly Overview** is the one to open at the end of a month.

## Financial

*Track income, expenses, payments, invoices, and account balances.*

| Report | What it answers |
|---|---|
| **Income Report** | *Lists revenues earned within the selected date range, broken down by payment method (credit card, bank transfer, cash).* |
| **Expenses Report** | *Calculates and lists the clinic's expenses period by period.* |
| **Profit & Loss Report** | *Calculates net profit and profit margin period by period by comparing total revenue against total expenses.* |
| **Invoices Report** | *Lists all issued invoices and their amounts within the selected date range.* |
| **Outstanding Balance Report** | *Lists customers with unpaid invoice balances by period.* |
| **Line Item Sales Report** | *Analyze sales details by product, medication, and service.* |

> **Tip**
> **Outstanding Balance Report** and the unpaid-invoice follow-up answer the same question from two ends: this one is for reading, that one is for acting. See [Client follow-ups](/communication/follow-ups).

## Customers

*Monitor customer acquisition, activity, and return patterns.*

| **Customer Acquisition Report** | *Track how many new customers you gained over time.* |
| **Active / Inactive Customer Report** | *Identify customers who haven't visited your clinic in a while.* |
| **New vs. Returning Customers** | *Compare first-time visitors against returning customers month by month.* |
| **Pet Ownership Report** | *See how many pets your customers own and identify multi-pet households.* |

## Patients

*View the species, breed, and growth distribution of patient records.*

## Vaccines

| **Vaccine Administration Distribution** | *See how many times each vaccine was administered, by species and breed.* |
| **Vaccine Administration Trend** | *Track how the number of administered vaccines changes over time.* |

## Products and Stock

*Monitor stock, inventory value, and product movements.*

| **Stock Status Report** | *View the current stock levels and inventory value of all tracked products.* |
| **Inventory Value Report** | *View cost and sales-based inventory value and VAT breakdown of all stocked products.* |
| **Stock Movement Report** | *Analyse stock in, out and net movements for the selected period.* |
| **Expiry Date Report** | *Track products with approaching or past expiry dates to minimise risk.* |

**Expiry Date Report** is the one worth a standing appointment in the diary. It bands products as **Critical (≤30 Days)**, **Warning (31-90 Days)** and **Expired**, and stock you find at the *expired* end has already cost the clinic money.

## Notifications

*Monitor SMS, email, WhatsApp, and mobile notification performance.*

> *This list shows delivery history from the last 7 days only. For more detailed records, please refer to Notification Trends.*

## Reading a Report

Most reports share the same three controls:

- ****Period**** — the range being reported on, from **Today** through **Last 12 months** and **This year**. *Future dates are not allowed.*
- ****Comparison**** — measure the period against **Previous period** or **Same period last year**. Where there is not enough history, the report says so rather than showing a misleading figure: *There is not enough historical data for comparison.*
- **Drill-down** — in most reports a period in the list opens the detail behind the number.

An empty report is usually a filter, not a fault: *There is no data available for the selected period.*

> **Note**
> Where a report counts something in a particular way — what makes a customer "new", or which visits count as activity — it states that basis on the report itself, beside the figure. Read that note before comparing a number here with one you calculated elsewhere.
