Appointment Statuses

Every appointment carries a status. The status determines its colour on the calendar, which actions the appointment offers, and whether the client receives a message.

The actions on an appointment change with its status, and several of them are no longer available once a visit record exists:

Undo Arrived returns the appointment to its previous status: No Show if the time has passed, Confirmed if it has not.

Most status changes send nothing to the client. The confirmation dialog tells you which case you are in before you commit, and only two of them send a message:

  • Cancelling a confirmed appointment that has not happened yet sends a cancellation notification.
  • Rescheduling to a future date sends a rescheduling notification.

No message is sent for anything else: marking arrived, marking no show, undoing arrived, or cancelling an appointment already in the past.

Two settings override all of this. If reminders were turned off on the appointment, or the client has that notification type switched off on their own record, no message is sent.

Dragging an appointment to a new time also changes its status:

Cancelling is one-way: a cancelled appointment cannot be confirmed again. If the client rebooks, create a new appointment.

Bookings clients make themselves arrive with the status Request. A Requests button appears on the calendar toolbar whenever any are waiting. It opens a panel down the left of the calendar showing each request with its visit type, time, client and pet.

Each card has two buttons, one to confirm the request and one to reject it. Rejecting cancels the request.

If an appointment is past its slot, still Confirmed or No Show, and no visit record exists, Veterian flags this on the appointment and shows how many minutes have passed. You can then either mark it as no show or check the patient in.
