Your First Week on Veterian

Veterian is a system of records that lean on each other, so the order you set them up in matters more than the speed. A visit needs a pet, a pet needs an owner, a treatment needs a catalogue item, and nobody can be booked until the clinic knows who works there and what they do.

This page is that order. Each step links to the guide that covers it, and says what it unblocks.

You need a clinic account, and you need to be a clinic administrator — most of the setup lives under Clinic Admin, which only administrators see.

Work through the setup steps with one real person and one real patient, not test data. The last step of the week is a real invoice, and a test client will have to be cleaned up afterwards.

#StepWhat it unblocks
1Define roles, then add your usersNothing else can be assigned to anyone until people exist
2Create your visit and appointment typesBooking. A staff member with no type cannot be booked at all
3Check your notification settingsStops the clinic messaging clients before it means to
4Build the products and services catalogueTreatments, prescriptions and invoice lines all pick from it
5Add the diagnoses your team usesThe list SOAP assessment picks from
6Add a client and their petEverything else attaches to these two records
7Book an appointmentThe calendar, and the start of a visit
8Record the visitThe medical record, and the invoice at the end of it
9Invoice it and take paymentCloses the loop the clinic runs on every day

Steps 1 to 5 are configuration and are done once. Steps 6 to 9 are the daily loop, and running them once end to end is how you find out whether the configuration was right.

Three of the dependencies are not obvious, and each one costs an afternoon if you meet it the wrong way round.

Every user except a clinic administrator needs a role, so define the roles first. Each user holds one role. See Users and roles.

The visit/appointment type is not a label on the calendar. It decides which staff can take the booking and sets the default duration, and a staff member with no type selected does not appear on the appointment form at all. This is the single most common “why can I not find Dr. X” question, and it is configuration rather than a fault. See Visit and appointment types.

Notifications come before your first client

Section titled “Notifications come before your first client”

Veterian messages clients on its own, and a new client record arrives with every channel switched on. One of those switches sends a real message the moment you press save — the mobile app invitation. Read Notification settings before step 6, especially if you plan to enter your existing client list in bulk.

Most clinics arrive with clients and patients already on paper or in another system.

Enter the client first and their pets from the client’s own profile, since each pet belongs to an owner. Species and breeds come from lists your clinic maintains, so add any missing breed as you go rather than stopping.

These are worth doing in the first week, but nothing depends on them:

  • Connect WhatsApp, if the clinic wants reminders going out on the channel clients actually read.
  • Set up e-document invoicing, if your clinic is in Turkey and issues e-Fatura or e-SMM.
  • Read The Flowboard with the front desk. It is where the clinic day is run once real patients are arriving.
