Create an Invoice

An invoice brings together what the clinic did and what the client owes for it. Treatments logged on a visit arrive already listed, and you add products and services yourself.

  1. Open Invoices from the left menu.
  2. Click New Invoice.

Creating an invoice takes two steps: add the lines, then fill in the invoice details.

  1. Open InvoicesNew Invoice and select the customer.
  2. Add the lines.
  3. Click Create Invoice. A drawer opens for the dates, notes and any payment.
  4. Save.

Once you select the client, the top of the page shows their Credit Balance and Outstanding Balance, so you can see before you start whether they are owed money or owe it.

Each line shows Description, Quantity, Unit Price, Tax (%) and Total.

Use the Search product/service box to add anything the clinic sold. Adding a product deducts it from stock, so an invoice also creates the inventory movement.

Treatments recorded on a visit appear in their own Treatments card, separate from the products you add here.

Calculate From Total applies to the whole invoice, not to a single line. With it on, you enter the tax-included total for each line and Veterian calculates the unit price back from it. Use it when the figure you agreed with the client already includes tax.

The total must be greater than zero for the invoice to save.

The drawer that opens from Create Invoice holds the remaining details:

You can record payment in the same drawer while creating the invoice, using Payment Amount, Payment Method and Payment Note. You can also skip this and add the payment later from the invoice itself.

  • Add Payment records money received. The status badge moves to Partly Paid or Paid depending on the amount.
  • Pay Using Customer Credit settles the invoice from the client’s credit balance where they have one.
  • Pay more than the invoice and Veterian offers to put the difference toward the client’s other unpaid invoices.

Invoices filter on Unpaid, Paid, Partly Paid and Overdue. Overdue is calculated from the due date rather than set by hand.

Where the e-document integration is connected, an invoice can be issued as an E-Invoice, E-Archive or E-SMM, and sent to the client automatically once it is approved.

An invoice cannot be edited once its e-invoice has been sent. Check it before you issue the e-document, not after. Lines with a 0% tax rate cannot go into an e-document at all.

Deleting an invoice does more than remove it: the products go back into inventory, and any payments already recorded are either returned to the client’s credit or applied to their other unpaid invoices. The confirmation lists what will be affected before you commit.
